Where do we meet...

The Downtown Club serves as the meeting location for the annual meetings because of its central locale and cost effectiveness. The annual meetings are held on the first Friday of November. The meetings are scheduled a year in advance by the hosting agency with the assistance of Lynn Jordan, if necessary.

The Downtown club avails the whole club, including the main dining room, for the annual meetings. The main dining room is reserved for breakfast, break and lunch. There are six (6) rooms available for the meetings.

Arrangements…

A room is assigned to the meeting group once the number of attendees for each meeting group is determined by the registered forms.

Marine Room (12th Floor) ... 50 people

Curtis Room (11th Floor) ... 50 people

Wedgewood Room (11th Floor) ... 35 people

Independence Room (11th Floor) ... 15 people

Grill Room (11th Floor) ... 50 people

Materials, handouts and information…

All letters of information should be forwarded to the key contact person at each agency accordingly:

Attachment I: Roster of Key Contact Persons

Attachment II: First notification of upcoming meeting; to be forwarded to key contact ten (10) weeks prior to the meeting; the letter contains deadline dates for requested data as illustrated and encloses a list of the Chairperson for each meeting. (Chairperson is selected at the November meeting.)

Attachment III: Second and final notification of upcoming meeting; to be forwarded to key contact six (6) weeks prior to the meeting; the letter includes a copy of the program schedule, agenda for each meeting and registration form to be returned with check and map to The Downtown Club (if available).

Please Note: Registration Form and check should be returned one month prior to the meeting, if not, follow-up phone calls are required to agencies who have not returned registration form(s), listing attendee(s), title(s) and meeting attendance.

Administrative preparation…

On the day of the meeting, each attendee receives a packet that is prepared by the hosting agency:

Packet Contents: Label on the front of the packet, program schedule, room assignments, agendas and roster.

In addition, a name tag is prepared for each attendee that includes the attendee's full name and agency (extra blank tags should be available on meeting day for replacements/additions). The hosting agency will incur all cost associated with the administrative preparation.

All checks are made payable to DELAWARE RIVER PORT AUTHORITY (DRPA) and are to be forwarded to:
